Major Responsibilities:
• With direction from the Workplace Solutions Manager maintains the appearance and operations of the New York headquarter office.
• Perform repairs, which include but are not limited to patching/painting, lock removal/installation, troubleshooting electrical and plumbing issues, assembling furniture, and other maintenance/general repairs as needed.
• Perform weekly facility assessments and generate reports. Proactively identify potential risks and advise Workplace Solutions Manager on the best approach to resolve matters.
• Collaborate closely with construction and maintenance service providers and IRC employees; help bring project to completion.
• Develop and maintain strong professional working relationships with Chanin building management and maintenance contractors to ensure outstanding services are provided in a timely manner.
• Respond promptly to assigned work orders from employees via ServiceNow software application.
• Conducts daily AM and PM sweeps of the office which include restocking and organizing pantries, print stations and meeting rooms.
• In regular communication with Events Associate to ensure conference set-up needs are met.
• Provide proactive support to maintain HQ security system. Coordinates with the Receptionist to create access cards for new employees, retrieve access cards from departing employees, and review data when necessary.
• Assist with incoming/outgoing mail processing and distribution.
• Ship domestic and international packages via FedEx, DHL, and USPS.
• Support inventory management by monitoring supply levels for office, pantry, shipping, and security supplies.
• Assist AV/IT teams to troubleshoot basic equipment problems for audio-visual and conference room communication systems when needed.
• Other related facilities and operations tasks and projects as requested by the Workplace Solutions Manager.
